Current balance report

What is the Current balance report?

The Current balance report gives you a real-time view of every currency balance held in your account. It shows available funds, pending amounts, and any sub-balance allocations, so you can see exactly where your money is at any given moment.

It's particularly useful if you hold multiple currencies or allocate funds across teams, projects, or sub-balances.

What does the report show?

Each currency balance appears on its own row, with the following columns:

  • Name: the balance label (e.g. "London Office Supplies")
  • Currency: GBP, EUR, USD, etc.
  • Type: Account Balance, Individual Balance, or Shared Balance
  • Status: whether the balance is active
  • Parent balance: shows the parent balance if this is a sub-balance (blank if not)
  • Available balance: funds you can spend right now
  • Pending balance: funds temporarily held (e.g. card authorisations waiting for the merchant to complete)
  • Total balance: Available + Pending
  • Allocated to Balances: amount allocated out to sub-balances (shown on parent balances only)
  • Overall balance: Total balance + allocations to sub-balances

How is this different from a Statement or Transaction activity report?

The Current balance report is a live snapshot of your balances right now. It doesn't include individual transactions or a historical view.

For historical data, use:

  • Statement PDF or CSV: completed transactions for a selected period
  • Transaction activity CSV: all transactions (including pending, declined, and cancelled)
  • Balance statement CSV: opening and closing balances plus totals of credits and debits for a period

Who can access it?

Primary Owners, Owners, Admins, and Accountants. Users can only see their own transactions, not account-wide balance reports.
