How to export reports and statements
Which report do you need?
This walk-through covers four reports you can export from your Equals account, two are for transactions and two are for Balances.
Find the best one for your use case using this table:
What do you need?
- A clean statement to file or share: use Statement, as a PDF.
- Completed transactions to reconcile: use Statement, as a CSV.
- Every transaction, including anything still pending: use Transaction activity.
- Totals rather than individual lines: use the Balance statement report.
- A view of what is in every Balance right now: use the Balance snapshot report.
Export a statement
A statement covers completed transactions only. Pending, declined and cancelled transactions are not included, so it is the right choice for reconciliations, audits and month-end close.
It is available as a PDF or a CSV. A PDF covers one Balance and is easy to share. A CSV can cover several Balances and holds more detail.
Go to Activity > Transactions, select the download icon at the top right, then choose Statement.
- Choose PDF or CSV
- Set your date range. Use a preset such as Last month or Month to date, or select your own start and end dates, then select Apply
- Choose your Balance
- Choose your currencies. You can search from the list, or use “Select all”
- Select “Export to email”
You need to choose a Balance before you can choose a currency.
A statement runs up to yesterday. Your report arrives by email as a link that is available for 24 hours.
Export transaction activity
Transaction activity includes every transaction, including anything still pending, declined or cancelled. It is the report to use when you are investigating something and need the full picture. It is always a CSV.
Go to Activity > Transactions. Set any filters you want on the page first, as they are carried into the export if you click “Apply filters”. Then select the download icon at the top right and choose Transaction activity.
- Set your date range. Use a preset such as Last month or Month to date, or select your own start and end dates, then select Apply
- Select “Export to email”
If you want everything, clear your filters before you export.
Transaction activity includes today. Your report arrives by email as a link that is available for 24 hours.
Export a balance statement report
A balance statement report summarises a period rather than listing individual transactions. You get the opening and closing amounts, along with the total credits and debits in between.
Open it and you will find a total for every currency enabled on your account first, then the same figures broken down Balance by Balance. Only the Balances you have access to are included. Take it as a PDF or a CSV.
Go to Balances, select the download icon at the top right, then choose Balance statement report.
- Choose PDF or CSV
- Set your date range. Use a preset such as Last month or Month to date, or select your own start and end dates, then select Apply
- Select “Request”
We email you a link to the finished report, and it stays available for 24 hours.
Export a balance snapshot report
A balance snapshot report is a point in time view. It shows the available, pending and total amount sitting in every Balance at the moment you ask for it, so there is no date range to set.
It is the quickest way to see the full picture at once. If you run separate Balances for teams, projects or productions, a snapshot tells you which ones need topping up before the weekend.
The figures lead with a per currency total for the whole account, then break down Balance by Balance, and you will only see Balances you have access to. It comes as either a PDF or a CSV.
Go to Balances, select the download icon at the top right, then choose Balance snapshot report.
- Choose PDF or CSV
- Select “Request”
Look out for an email with your download link. It works for 24 hours.
Who can export reports
These account roles can export reports for every Balance on your account:
- Primary owner
- Owner
- Admin
- Payer
- Viewer
- Accountant
If you do not hold one of those roles, you can export reports for the Balances you have a Balance role for, as a Balance admin, Balance payer or Balance viewer.
Your reports only ever include Balances you can already see. You cannot export a statement for a Balance you do not have access to.
