What is a funds request?

Fund Requests let your team members ask for extra money in any balance they can access.

Once a request is submitted:

- An email and push notification is sent to the designated approvers.

- Approvers can easily approve or reject the request directly from their desktop or mobile app.

Enabling Funds requests

Only Owners on the account can activate Funds requests in the Account settings section accessed via the arrow in the top menu.

Account settings > Requests > Enable Funds requests.

Setting up Approval tiers

Adding people to tiers

- For each tier, type the name of the person (or people) who should approve requests at that level.
- The same person can be added to multiple tiers, but they can only approve a request once.
- Requests always move in order, starting from Tier 1 and continuing through each tier until they reach the final one.

Final tier responsibilities

The last tier has the final say, they can approve or reject the request. Once approved by the final tier, the funds are moved to the requested balance.

Who can approve funds requests?

By default, Owners, Admins, and Balance Admins have the ability to approve fund requests. However, they won’t receive notifications about new requests unless they’re added to an Approval Tier.

This helps avoid unnecessary notifications for management, while still allowing them to step in and approve requests when needed.

Account role permissions

Balance role permissions

Balance Admins can approve fund requests only for sub-balances that sit under the balances they manage. They don’t have approval rights outside of these areas.

Visibility of pending funds requests

Apart from the people that have the ability to approve funds requests (detailed above), anyone with the Account role Payer, Viewer and Accountant will be able to see any pending funds requests across all balances and anyone with the Balance role Balance payer or Balance viewer will be able to see any pending funds requests on balances where they have those roles.

In addition to that the requester can see and monitor progress on any of their funds requests.

How to create a Funds request

Who can request funds?

You can submit a Funds Request if you are:
- A Balance Admin or Balance Payer on a Shared balance
- The holder of an Individual balance

How to make a funds request

Click the circular "Request funds" button located at the top of these pages:
- Overview
- Transactions
- Balances
- Cards

Add a reason for your request and submit it for approval.



Managing Requests
If your request is no longer needed, you can cancel it at any time before it’s fully approved. Requests that haven’t been actioned will automatically expire after one month.

Approving or rejecting requests

Once a request is submitted all approvers in Tier 1 will be notified via email and push notification.

An approver can only approve a request in the final tier if:
- They’re assigned to that tier
- There are enough funds available in the source (funding) balance

To approve, click on the push notification or email you received regarding the request. If not already signed in, you'll be prompted to do so. Alternatively, go to the Overview page on your Equals Money account, in the "Needs attention" section, click on "Manage" to view the Requests page.

You'll see all requests awaiting your approval based on your Approval tier. Only one person in each tier needs to approve for the request to move to the next. Click to approve or reject the request.


Please note:

- Approvers in the final tier must also select the funding balance and currency before approval.
- You can only approve a request once and cannot approve a request you submitted yourself.

What happens after an approval

Once the request is approved at the final tier and the funds are moved:
- The requester gets a push notification and an email
- The funds are made available in the destination balance
